HVAC & Building Services
Commercial HVAC, mechanical and building services contractors: planned preventive maintenance regimes (SFG20), reactive callouts, statutory compliance inspections, small works and subcontractor management.
Asset Management
Building Asset Survey & Asset Register Build
Covers the physical survey of HVAC and building services plant across a site or estate and the construction of a structured, hierarchical asset register that PPM regimes can be built on. Each asset is captured with type, location, condition, criticality and nameplate data, then individually linked to the correct maintenance schedule. Poor asset data at this stage is one of the most common reasons PPM programmes drift out of compliance.
LOLER Thorough Examination of Lifting Equipment
Manages the register of lifting equipment and lifting accessories in a building or service portfolio and the statutory thorough examination regime that keeps each item lawfully usable, from interval derivation through competent-person examination, report capture, defect handling and record retention. Jurisdiction: UK, under the Lifting Operations and Lifting Equipment Regulations 1998 (LOLER), with in-between inspection and maintenance duties arising under PUWER. Covers passenger and goods lifts, hoists, MEWPs, gantry and jib cranes, davits and the accessory population.
Do-and-Charge Quote-to-Cash (reactive job billing)
Runs the full commercial cycle for chargeable reactive HVAC work that is executed on a time-and-materials or schedule-of-rates basis rather than under a fixed contract fee. Captures labour, travel, parts, subcontract and access costs against the work order, applies the contractual pricing basis, and produces a substantiated invoice fast enough to protect cash flow. Includes the WIP review that separates genuinely chargeable work from work already covered by the maintenance contract or warranty.
Remedial Action Tracking (from inspection findings to closure)
Converts every finding from a statutory inspection into a tracked remedial action with the right urgency path, drives it through quoting, approval and execution where it falls outside contract scope, and closes it with evidence that flows back to the original compliance record. The urgency path is dictated by the regime: immediate cessation of use, remediation within the period specified on the examination report, or a mandated re-test after repair. Jurisdiction-specific rules are configured per regime rather than as a single generic SLA.
PPM Regime Setup (SFG20 Task Library Alignment)
Covers turning a validated asset register into a configured preventive maintenance regime aligned to a recognised task library such as SFG20, including task selection by criticality, frequency setting, skill-level assignment and version control against the source standard. The regime records which tasks are statutory, which are business critical and which are discretionary, so scope decisions are defensible to auditors and insurers. Because the underlying standard is updated continuously, regime setup also establishes the review-and-apply mechanism that prevents compliance drift.
Gas Safety Inspection & Landlord/Commercial Gas Safety Record (LGSR)
Plans, executes and records statutory gas safety inspections of gas appliances, fittings and flues across a landlord or commercial property portfolio, and produces the gas safety check record (the Landlord Gas Safety Record, historically referred to as a CP12) for each property. In the UK the Gas Safety (Installation and Use) Regulations 1998 govern the record content, who may issue it, and its distribution and retention. The process covers scheduling the 12-month cycle, dispatching a Gas Safe registered engineer, capturing the mandated record fields, issuing the record and driving any remedial action.
Legionella & Water Hygiene Monitoring (L8/HSG274 regime)
Turns the written legionella risk assessment for each water system into a scheduled monitoring and sampling regime, captures the control-regime readings and laboratory results, and drives remedial action where control is not being achieved. Jurisdiction: UK, where the regime is set by the HSE Approved Code of Practice L8 and the HSG274 technical guidance, with Part 1 covering evaporative cooling systems and Part 2 covering hot and cold water systems. Monitoring frequency is risk-assessment driven, with a published minimum for open systems.
Fire & Life-Safety System Testing (detection, suppression, dampers, AOV)
Schedules and evidences periodic testing of fire and life-safety systems across a building portfolio: detection and alarm, suppression, fire and smoke dampers, and automatic opening vents. Jurisdiction: UK, where fire damper testing frequency is set out in BS 9999:2017 and the inspection methodology in the BESA DW 145 guidance, against statutory duties under the Regulatory Reform (Fire Safety) Order 2005, with higher-risk buildings additionally subject to Golden Thread information requirements under the Building Safety Act 2022. Frequencies for detection, suppression and AOV sub-systems must be taken from the governing standard for the building and jurisdiction.
PPM Schedule Generation & Route Optimisation
Covers converting the configured PPM regime into a dated, resourced annual maintenance plan and then optimising the resulting visits into efficient engineer routes. Tasks of differing frequencies are consolidated into visits, visits are levelled against labour capacity and statutory due dates, and journeys are sequenced to reduce travel while protecting compliance windows. The output is the annual planner the client signs off and the work order pipeline the mobile workforce executes against.
Maintenance Contract Billing Models (Fixed, Schedule-of-Rates, Comprehensive)
Covers configuring and running the commercial models a building maintenance contract is billed under: fixed periodic price for the PPM regime, schedule-of-rates pricing for reactive and additional works, and comprehensive or fully-inclusive cover where parts and repairs sit inside the fee. The chosen model determines how completed work is priced, what evidence must accompany an invoice, and where the provider carries risk. The objective is billing that is defensible against delivered evidence and free of revenue leakage.
SLA / KPI Measurement & Service Credit (penalty) Management
Measures delivered performance against every contracted SLA and KPI across reactive and planned HVAC work, then calculates, agrees and applies any service credits or performance deductions that fall due. Produces the auditable evidence pack used at monthly client review and at renewal. Feeds breach root causes back into intake, dispatch and parts processes so the same failure is not paid for twice.
Procurement
Subcontractor Assignment & Job Sheet Return
Awards HVAC work to an approved subcontractor and gets a compliant job sheet back. Covers contractor selection against agreement and coverage, issue and acceptance of the contractor order within the acceptance window, allocation to a named operative, work execution and reporting of time, materials and expenses, return of the job sheet with certificates, photographs and signature, and conversion of reported work into payment lines ready for authorisation.
Subcontractor Invoice Validation & Self-Billing
Controls what an HVAC business actually pays its subcontractors. Covers confirmation and authorisation of payment lines against the agreement and not-to-exceed limits, purchase order creation including batch and charge-period modes, periodic self-billing invoice plans, the sub contract valuation and payment certificate route for construction-style packages, matching of the subcontractor invoice, and transfer of the resulting transactions to finance.
Subcontractor Onboarding & Accreditation
Registers, vets and approves the external contractors an HVAC business relies on for specialist trades, geographic coverage and peak capacity. Covers classification by contractor type, commercial and supplier registration, insurance, health and safety and competence accreditation, and a gated onboarding checklist that must be complete before work can be awarded, plus setup of the cost, resource and portal framework that lets the contractor be assigned and paid.
Engineering
Commissioning, Witnessing & Client Handover (O&M documentation)
Takes installed HVAC systems from static completion to a witnessed, documented handover. Covers the commissioning plan, preliminary and static checks, setting to work, regulation and functional performance testing to the applicable commissioning codes, client or consultant witnessing and certification, and assembly and issue of the O and M documentation and as-installed record set that transfers the system into operation.
Compliance Certificate Issue & Client Portal Publishing
The single controlled release point for statutory compliance evidence: it assembles, approves, versions, issues and publishes gas safety records, F-gas leak-check records, legionella logbooks and results, fire damper inspection reports and LOLER thorough examination reports to the client, occupier or dutyholder, and evidences that issue happened inside any statutory window. It also applies per-regime retention and protects records from unauthorised alteration so a written copy can be produced on request. Issue windows and retention periods are jurisdiction-specific and configured per regime.
Human Capital Management
Out-of-Hours Standby Rota & Escalation
Plans and administers the on-call rota that provides 24/7 emergency cover for HVAC and building-services contracts outside core hours. Publishes who is on standby by trade and territory, drives the escalation chain when the first-line engineer does not respond, and records standby allowance, callout premiums and overtime for payroll. Also enforces rest and fatigue rules so an engineer called out overnight is not scheduled to start normally the next morning.
RAMS & Permit-to-Work Control
Controls how high-risk building services work is authorised and executed: producing and versioning task-specific risk assessments and method statements, determining which activities need a written permit, issuing and signing permits through an authorised responsible person, making the controls visible at the point of work, and handing plant back on completion. Jurisdiction-neutral in principle; the design here follows HSE human factors guidance on permit-to-work systems and HSG250, which is the key guidance in this area and applicable to all industries where permit-to-work systems are used.
Projects
Plant Install / Replacement Project Delivery
Delivers HVAC plant installation and replacement projects - chiller, boiler, AHU, heat pump and controls replacements - from awarded order through to close-out. Covers project setup and WBS, budget baseline from the tender build-up, programme and milestone definition around long-lead plant, project-connected procurement, site delivery control and cost-to-complete review, and transfer of the new plant into the asset register.
Variations & Applications for Payment (interim valuation)
Manages commercial change and interim cash recovery on HVAC installation contracts. Covers instruction and pricing of variations, cumulative valuation of work done to a cut-off date, internal approval and submission of the application for payment, receipt and reconciliation of the client certificate, and treatment of retention, discount and deductions through to invoice and cash.
Supply Chain
Parts to Job & Engineer Van Stock Replenishment
Gets the right spare part to the right reactive HVAC job, either from the engineer's van, from a local store or trade counter, or by emergency purchase. Treats each van as a controlled stock location with its own min/max levels so consumption on a job automatically triggers replenishment. Directly protects first-time-fix performance and stops engineers spending productive time chasing parts.
F-Gas Leak Checking & Refrigerant Tracking / Reporting
Derives the statutory leak-check frequency for each item of stationary refrigeration, air-conditioning, heat pump, fire protection, switchgear or organic Rankine cycle equipment from its refrigerant charge expressed in tonnes of carbon dioxide equivalent, schedules those checks, and maintains the refrigerant log per system. It also tracks cylinder stock and refrigerant added, recovered and reclaimed so the operator records reconcile with inventory movements. Jurisdiction: the frequencies and thresholds below are the UK regime as published on GOV.UK by the Environment Agency and Defra; a US deployment would instead be built on the EPA Section 608 refrigerant management rules, which use different bands.
Everything you can see here is real and current, the names, the structure and the counts come straight out of the ModelIFS library and change as it grows. What sits behind the license is the worked-out content itself: the execution steps, the data each one needs, the configuration decisions, the KPIs, the integration points, the workshop questions and the diagrams. That is the part you would otherwise spend a program building from nothing.
