Inventory Management & Replenishment
Inventory Part Management
Create and maintain the inventory part master record that governs how a part is stocked, valued, planned, tracked and controlled across sites, including part status, lot/serial/condition tracking, ownership and unit of measure.
Reorder Point & Min/Max Replenishment
Plan replenishment for independent-demand parts using reorder-point logic: when on-hand falls below the order point a replenishment proposal is created, using planning methods B (Order Point) and C (Replenishment Level) or the IPR reorder-point solution.
Safety Stock & Inventory Optimization
Calculate and optimize safety stock and lot sizes for independent-demand parts using IPR planning models (Time Coverage, Historical Uncertainty, Mean Absolute Error, EOQ) driven by service-rate targets, demand variation and lead time.
Cycle Counting & Physical Inventory
Verify physical stock against inventory records through count reports, either full physical inventory or cyclic (ABC-driven) counting, with optional stock freezing, count result entry and approval of discrepancies.
Inventory Valuation & Costing
Assign financial value to on-hand inventory using one of four valuation methods (Standard Cost, Weighted Average, FIFO, LIFO) combined with a cost level (per Part, Configuration, Condition, Lot/Batch or Serial), driving inventory transaction valuation and revaluation.
Multi-Echelon Stocking & Van Stock Replenishment
Sets and maintains stocking policy across the aftermarket network from central warehouse through regional hubs and forward stocking locations down to technician van stock, using IFS Cloud Inventory Planning and Replenishment with the Multi Echelon extension. IPR calculates safety stock, order point, lot size and next order date per SKU and location against a target service rate, and Multi Echelon aggregates downstream supply plans into the upstream echelon forecast. Replenishment proposals are then released as purchase or internal supply and van stock is topped up in line with the technician schedule.
Part Supersession Management
Controls the replacement of one service part number by another across the aftermarket catalogue, stock, open orders and service documentation. In IFS Cloud the interchangeability relationship is registered on the Alternate Parts tab of the Part page, where the Fully Interchangeable flag decides whether the alternate is an acceptable replacement for the primary part and whether a reciprocal catalogue record is created. The process also governs run-out of the old part, transition of open demand and supply, and communication of the change to dealers and field engineers.
Facility Critical Spares Management
Establishes and runs the on-site critical spares holding for data centre facility plant in IFS Cloud, derived from the critical asset register rather than from consumption history alone. Parts are classified as insurance, critical or consumable, given a stocking policy with reorder point and safety stock, and held in a controlled site store linked to the assets they protect. Issue to PM and corrective Work Orders drives replenishment, and periodic review covers obsolescence, shelf life and OEM support status so mean time to repair on a critical failure stays inside target.
Controlled Stores, Shelf Life & Serialized Inventory
Controlled stores in IFS Cloud rest on part-level tracking settings: serial tracking is configured as a combination of At Receipt and Issue, In Inventory and After Delivery, with full serial tracking making serial entry mandatory at receipt and keeping a serial on the part throughout its life cycle in the part serial catalog. Availability control codes isolate or freeze stock, MRB cases lock nonconforming material, and periodic verification is done with count reports that can be limited to cycle-counted parts, freeze stock while counting, and be split per warehouse. Shelf life and expiry handling is closely tied to lot/batch and serial identity, but the IFS lot/batch tracking reference page could not be retrieved during this research.
Parts to Job & Engineer Van Stock Replenishment
Gets the right spare part to the right reactive HVAC job, either from the engineer's van, from a local store or trade counter, or by emergency purchase. Treats each van as a controlled stock location with its own min/max levels so consumption on a job automatically triggers replenishment. Directly protects first-time-fix performance and stops engineers spending productive time chasing parts.
F-Gas Leak Checking & Refrigerant Tracking / Reporting
Derives the statutory leak-check frequency for each item of stationary refrigeration, air-conditioning, heat pump, fire protection, switchgear or organic Rankine cycle equipment from its refrigerant charge expressed in tonnes of carbon dioxide equivalent, schedules those checks, and maintains the refrigerant log per system. It also tracks cylinder stock and refrigerant added, recovered and reclaimed so the operator records reconcile with inventory movements. Jurisdiction: the frequencies and thresholds below are the UK regime as published on GOV.UK by the Environment Agency and Defra; a US deployment would instead be built on the EPA Section 608 refrigerant management rules, which use different bands.
Parts Lot/Serial & UDI Traceability
Establishes end-to-end traceability for service parts and devices so an affected population can always be reconstructed. IFS Cloud carries this through Part Catalog tracking flags, the Part Serial Catalog and Part Lot Batch, as-built structures and part serial history, capturing the UDI device identifier and production identifiers at receipt and preserving them through consumption on Work Orders and Shop Orders. The GUDID submission itself is external, but the identifiers and the lot-to-consignee trace are IFS data.
Spare Parts with Shelf-Life Control
Controls shelf-life-limited service parts - reagents, sterile accessories, batteries, adhesives and seals - so nothing expired reaches a patient-facing device. In IFS Cloud the expiration date is derived from the manufactured date and the shelf life defined on the part, held on Part Lot Batch or Part Serial, and enforced at reservation: automatic reservation requires the part to be current and can be prioritised by Earliest Expiration Date, while manual reservation can deliberately override and reserve expired stock.
Critical Spares & Long-Lead Procurement
Identifies, stocks and procures the critical and long-lead spares that protect turnaround delivery and production availability in oil and gas. Criticality-ranked Inventory Parts are given deliberate stocking policies, then replenished through IFS Cloud Purchase Requisitions that are released, authorised and converted into Purchase Orders or called off against Supplier Agreements. Delivery of long-lead items is expedited and reserved against the turnaround Work Orders that depend on them.
Critical Spares & Long-Lead Equipment Management (T&D)
Definition, stocking and lifecycle management of critical and long-lead transmission and distribution equipment - spare power transformers, breakers, bushings, relays and battery banks - where replenishment lead times are measured in years rather than weeks. In IFS Cloud the spares policy is expressed as Inventory Parts with criticality, min/max and reorder rules linked to the Functional Objects they protect, replenished through long-horizon Purchase Orders and, for major units, managed as capital Projects. The spares strategy is periodically re-evaluated against fleet failure risk and current market lead times.
Pipe, Fittings & Truck Stock Inventory Management
Manage distribution repair materials - pipe, fittings, valves, hydrants, meters, repair clamps - across central yard, satellite yards, and crew trucks: part standardization, min/max replenishment sized for emergency main breaks, mobile issue/return against work orders, and cycle counting.
MRO & Critical Spares Management
Defines how a water or wastewater treatment plant catalogues, classifies and replenishes maintenance, repair and operations (MRO) inventory and critical spares for permit-critical assets such as raw sewage pumps, blowers, UV modules, centrifuges and dosing skids. In IFS Cloud the process is carried by Inventory Part master data with criticality-driven stocking policy, order point and safety stock planning, and automatic purchase requisition generation that feeds Procurement. It gives the plant a defensible, auditable stocking position for the equipment whose failure would put the discharge or drinking water permit at risk.
Treatment Chemical Inventory & Reorder
Controls the on-hand position and automatic replenishment of bulk and packaged treatment chemicals - coagulant, polymer, sodium hypochlorite, caustic, lime, ferric and carbon source - so the plant never runs a dosing point dry and never over-fills a bulk tank. In IFS Cloud each chemical is an Inventory Part held in a bulk tank inventory location with an order point and safety stock derived from dosing rate and supplier lead time, and the inventory reorder proposal creates purchase requisitions against the contracted supplier. Certification status under NSF/ANSI/CAN 60 is carried on the part where the chemical contacts drinking water.
Everything you can see here is real and current, the names, the structure and the counts come straight out of the ModelIFS library and change as it grows. What sits behind the license is the worked-out content itself: the execution steps, the data each one needs, the configuration decisions, the KPIs, the integration points, the workshop questions and the diagrams. That is the part you would otherwise spend a program building from nothing.
